Terms and Conditions
‘Host’ – representative of Manor Games.
‘Event’ – any activity run by Manor Games or involving use of its equipment.
‘Base’ – Manor Games base.
‘Venue’ – premises where event is being held.
‘Client’ – the group’s parent organisation.
‘Event / group organiser – the group representative who acts as the intermediary between the host and the group for organisational purposes. The group’s parent organisation (the client) is ultimately responsible for any deposits, payments or further charges accrued and not the event organiser.

Payments & Deposits
Total event charge (not including transport) -
A cleared deposit of £25 or full payment (of which £25 is a deposit) to be paid at least 7 days prior to the event. The balance (if any) to be paid upon collection of equipment and host from base (client transport) or upon arrival of equipment and host at venue (host transport).
Total event charge (not including transport) – over £50.
A cleared deposit of 50% of total event charge or full payment (of which 50% is a deposit) to be paid at least 7 days prior to the event. The balance (if any) to be paid upon collection of equipment and host from base (client transport) or upon arrival of equipment and host at venue (host transport).
For transport payments (see below -
All payments to be made either in full or in part by:-
(i) Cheque (with sufficient
time to clear) – made payable to ‘Geoff Dolan’.
(ii) Postal Order.
(iii) BACS Transfer.
(iv) Cash
1. Full payment when notice of event is within 7 days of event date.
2. Outstanding balances on collection (client transport) or venue arrival (host transport).
3. Full payment or balance paid in advance at an event for a forthcoming event.
4. Coffee Time Specials – full payment collected on the day of the event
Prices
Prices charged are inclusive of:-
Hosting.
Setup and dismantling of equipment.
Use of games equipment for duration of the agreed event time.
Transport is not included in the total event charge.
If it is necessary to withdraw games equipment prior to an event, suitable replacement equipment will be provided and the client notified where possible.
VAT is currently not chargeable.
Further charges
Any charges that accrue over and above the event’s original full payment charge will be invoiced within 7 days of event end to be settled within 30 days of event end.
Event start time and duration
Events that start later than the contracted start time:-
Client transport -
Host transport -
Further charges for event overrun.
Other than for prearranged extensions to include
break time, events are to always finish at the stipulated end time or an event overrun
charge will come into effect. Any overrun greater than the first 15 minutes after
scheduled event end time will incur an extra charge for every 30 minute period (or
portions thereof) at a rate proportionate to the total event charge (based on 3 hour
event duration). The overrun charge to commence at scheduled event end time.
Where event overrun is due to late arrival at venue (host transport) then no further charges will be made.

Cancellations, Refusals, Abandonments.
Cancellation / Refusal by Manor Games
Manor Games reserves to right to refuse any booking prior to payment of the full amount. The deposit (if already paid) will then be returned.
In the event of any cancellation by Manor Games after completion of full payment, then the full amount will be returned.
Cancellation by Client
Any cancellation by the client after payment of the deposit (but not later than 3 days before the event) will result in loss of deposit. If cancellation is made after full payment has been made and within 3 days of the event, then this will result in loss of full payment.
Cancellations – Other
Any cancellations arising out of severe weather, unsafe travelling conditions, illness
or injury to host, non-
Abandonments
Where an event that is already under way (but not more than 1 hour into the event) or whose start time is imminent, has to be abandoned for safety reasons, then either the event can be rearranged within 7 days for a mutually agreed date (to take place within 30 days), or the client will lose their deposit..

Transport
Option 1 – client provides transport and driver.
Option 2 – Manor provides transport and driver.
Option 1
Safe and secure transport of both host and games equipment, both to and from the event venue, is to be undertaken by the client. The client is responsible for any and all costs arising from this.
Vehicle Requirements-
Large Transit Type Van
Inside length MIN 96 inches. Inside width MIN 66 inches. Preferably ply lined, possibly carpeted, and definitely clean.
· Pub and Parlour (appropriate selections can also allow for use of estate car / smaller van)
Large Estate Car or Small Van
Inside length MIN 66 inches. Inside width MIN 45 inches.
· Village Green (please check individual games in case larger transport required)

Venue arrival times
To allow for equipment unloading and setup time, the arrival at venue should be no
later than the following times before the contracted event start time:-
45 minutes (15 mins unloading and 30 mins set up time)

· Village Green
· Tabletop Football
· Mixed Sport
15 minutes
· Horse racing / Punting for Points
· Classic Board
· Strategy
· Quiz and Word
Option 2
Where Manor provides the transport and driver the cost to the client will depend upon which area their venue lies in. A detailed rundown of areas (based upon postcodes) is provided on Manor Games web site.
Transport charged from minimum of £50.
Full payments for transport to be paid at same time as deposit payments for event.

Venue Access – Pub and Parlour only
Venues should have an access point adjacent to which vehicles can load / unload equipment. This should be at ground level (no steps) and no narrower than 29 inches in width (preferably double door). Ceiling heights should be no less than 8 feet. Unless prior agreement has been made, Pub and Parlour events are to take place in a ground floor area with no steps between access point and event location. Manor reserves the right to cancel an event on the spot any where the venue is deemed to have unsuitable access (with no full or partial refund).

Non-
Manor Games are not responsible for any accidents or injuries to either driver, participants or spectators whilst partaking in or on the way to (or from) a Manor Games event. This is an implicit agreement made by the client upon completion of deposit payment.

Equipment loss or damage
Loss or damage to Manor Games equipment during an event (other than from normal wear and tear) will be charged at an appropriate amount to cover the cost of suitable replacement equipment. Any damages caused from negligence, or deliberate abuse or misuse of the equipment will be charged to the client.
